Management accounts vs statutory accounts: what each is for

30 June 20265 min read

Directors often ask why they need monthly reporting when their accountant already prepares year-end accounts. The answer is that statutory accounts are a compliance output produced months after the fact, while management accounts are a decision tool produced while the decisions are still open.

Statutory accounts: the compliance record

Statutory accounts are prepared under a recognised framework — for most UK small companies that is FRS 102 Section 1A, or FRS 105 for micro-entities. They are filed at Companies House and support the corporation tax return.

They are standardised on purpose, so lenders, HMRC and investors can compare companies. That standardisation is also why they are a poor management tool: the format hides operational detail.

Management accounts: the decision tool

Management accounts are produced monthly or quarterly in whatever format is most useful to you. They can split revenue by channel, show gross margin by product line, track KPIs alongside financial data and compare against budget.

There is no prescribed format, which means the value depends entirely on whether the pack answers the questions the leadership team actually asks.

  • Revenue and margin by channel, product or client
  • Budget and prior-year comparatives with variance commentary
  • Rolling cash flow forecast and covenant headroom
  • Non-financial KPIs such as utilisation, churn or order volume

Why the two should reconcile

If monthly reporting is prepared on a consistent basis, the year-end becomes a review rather than a rebuild. Accruals, prepayments and revenue recognition applied monthly mean fewer audit adjustments and a cheaper, faster statutory process.

When management and statutory numbers diverge significantly at year end, it is usually a sign that the monthly process was cash-based rather than accruals-based.

The takeaway

Statutory accounts prove what happened. Management accounts let you change what happens next. Run both from one properly maintained ledger.
